Gaming center management basics
What is a gaming center management system?
A gaming center management system is software that runs the day-to-day operations of a gaming cafe or center — tracking each station, timing sessions, calculating bills, taking payments, and reporting revenue. GameBiller is a free gaming center management system that does all of this in one web app for PC, PS5, console, VR, esports and LAN venues.
What is gaming cafe software used for?
Gaming cafe software replaces manual registers and spreadsheets: it starts and stops play timers, applies your hourly rates, adds snacks and accessories, generates invoices, and tracks daily revenue. GameBiller covers all of these plus memberships, loyalty, staff roles and reports, so owners can run the floor from one screen.
Do I really need software to run a gaming cafe?
Once you have more than a couple of stations, manual billing leads to missed minutes, disputes and revenue leakage. Software like GameBiller times every session accurately, keeps an audit trail, and shows exactly how much each station earned — which usually pays for itself quickly. GameBiller is free to start, so there is no upfront cost to find out.
What is the difference between gaming cafe billing software and a POS?
A generic POS is built for retail checkout, while gaming cafe billing software is built around time-based play: live timers, prepaid/postpaid sessions, per-station pricing and happy hours. GameBiller is purpose-built for gaming centers, so it handles timed sessions and gaming-specific pricing that a normal POS cannot.
What types of venues can use GameBiller?
GameBiller works for PC gaming cafes, PS5 and console lounges, VR arcades, esports arenas, LAN centers, cyber cafes and mixed venues. You configure different station types and pricing for each, so one workflow covers a floor that mixes PCs, consoles and VR.
Is GameBiller suitable for a small gaming cafe with just a few PCs?
Yes. GameBiller’s Free Forever plan is designed for small cafes — you can manage a handful of stations, bill by time, and see revenue with no monthly charge. As you add stations you can upgrade for higher limits, but a small cafe can run entirely on the free plan.
Can one system manage both PC and console gaming stations?
Yes. GameBiller lets you define station types such as PC, PS5, PS4, VR and arcade, each with its own rate card. A single dashboard then shows every station live, so staff can bill a PC seat and a PS5 seat side by side without switching tools.
Does GameBiller work on mobile and tablet?
GameBiller is a responsive web app, so it runs in any modern browser on a phone, tablet, laptop or desktop — there is nothing to install for the main dashboard. Staff can manage stations from a tablet at the counter while the owner monitors revenue from home.
Is there a limit to how many gaming stations I can manage?
Station limits depend on your plan. The Free Forever plan covers a starter set of stations for small cafes, and paid plans raise the limit for larger centers. GameBiller is multi-station by design, so the same live grid scales from a few seats to a full floor.
How long does it take to set up a gaming cafe on GameBiller?
Most owners are billing within an hour: sign up free, add your stations, set your hourly rates, and start your first session. Because GameBiller is a hosted web app there is no server to install, so setup is mostly entering your prices and station names.
Getting started & setup
How do I start using GameBiller for free?
Go to gamebiller.com and sign up on the Free Forever plan — no credit card is required. Add your gaming stations and rate cards, and you can immediately start sessions, generate invoices and track daily revenue. You only upgrade if you later need more stations or advanced features.
Do I need to install anything to use GameBiller?
No installation is needed for the management dashboard — it runs in your web browser. The only optional download is the PlayLock agent, a small Windows app you install on gaming PCs if you want them locked until a prepaid gamer logs in.
How do I add my first gaming station?
From the dashboard open Shop Setup → Manage Resources, add a station, give it a name and pick its type (PC, PS5, VR, etc.). Once a rate card is attached, the station appears on the live grid with Start, Pause, Done and Reset controls.
How do I set my hourly rates in GameBiller?
Open the Rate Card (pricing) section and set your per-hour or per-slot price for each station type. GameBiller supports standard hourly rates, advanced multi-player pricing, and fixed time-level slots, so you can match how your cafe actually charges.
Can I import my existing customer or station list?
You set up stations and rate cards directly in GameBiller during onboarding, which for most cafes takes only a few minutes. Customer records build up naturally as you bill sessions and add members. If you have a large existing list, contact support@gamebiller.com for guidance.
What information do I need before onboarding?
Have your station names and types ready, your hourly rates, your GST number if you bill tax, and your shop details (name, address, phone). With those in hand you can complete GameBiller setup and issue your first invoice the same day.
Can I try GameBiller before committing?
Yes — the Free Forever plan is effectively an open-ended trial with no card and no expiry, so you can run real sessions and see the reports before ever considering a paid plan. There is no risk in setting it up and testing it on your floor.
Is training required to use GameBiller?
The interface is built for busy counters, so most staff learn it in minutes: start a timer, add snacks, click Done, generate the invoice. There is an in-app product tour, and support is available by email and WhatsApp if you need help.
Billing, timers & pricing models
How does gaming cafe billing software calculate a bill?
It times the session from start to stop, multiplies the elapsed time by your rate card, then adds any snacks, extra controllers or accessories, applies discounts, and totals it. GameBiller does this automatically and shows the running cost live, so the final invoice matches the time played to the second.
What is the difference between prepaid and postpaid sessions?
In a postpaid session the customer plays first and pays when they finish; in a prepaid session they pay for a fixed block of minutes up front and the timer counts down. GameBiller supports both modes per station, so walk-ins can pay after while prepaid packs stop automatically when time runs out.
Does GameBiller support happy hour discounts?
Yes. You can configure happy-hour windows with reduced rates, and the billing engine applies them automatically when a session falls in that window. This lets you drive traffic at quiet times without staff having to remember to change prices.
Can I charge different prices for single vs multiplayer?
Yes. GameBiller’s advanced pricing lets you set different rates by number of players or controllers on a station, so a 1-player PS5 seat and a 4-player couch session can bill at different rates automatically.
What is time-level or slot-based pricing?
Time-level pricing charges fixed prices for preset blocks — for example 30 minutes, 1 hour or 2 hours — instead of a pure per-minute rate. GameBiller supports these slots so you can sell round-number packages that are easy for customers to understand.
Can I pause a session without losing the time already played?
Yes. Pausing freezes the timer and the elapsed time is preserved; resuming continues from where it stopped. GameBiller records paused time separately, so a customer who steps away is not billed for the break.
How do I add snacks or drinks to a customer’s bill?
Open the station’s details and add items from your snacks catalog; the cost is added to the running total and the stock count is reduced. When you generate the invoice, snacks appear as line items alongside the play charge.
Can I add a manual discount or price adjustment to a bill?
Yes. Each bill has a discount/adjustment field where you can enter a negative value for a discount or a positive value for a surcharge, and the final total updates instantly. This is useful for goodwill discounts, rounding, or special deals.
Can I combine several stations into one invoice?
Yes. If a group played across multiple seats, you can select the completed sessions and combine them into a single invoice with each station shown as a line item. The grand total always equals the sum of the individual station charges.
What happens to a finished session before it is billed?
When you click Done the seat is freed immediately and the finished session moves to a pending list in the Billing panel, where you generate the invoice. If Done was clicked by mistake you can Continue the session back onto its original seat as long as that seat is still idle.
Does the timer keep running if I refresh the browser?
Yes. Billing in GameBiller is server-authoritative, so the elapsed time lives on the server, not just in your browser. Refreshing or opening the dashboard on another device shows the same accurate time — a stale browser cannot resurrect or lose a session.
Can two staff members bill from different devices at once?
Yes. GameBiller syncs station state across browsers, so an owner watching from home and staff at the counter see the same live grid. Optimistic locking prevents two people from clashing on the same station at the same moment.
Can I set an automatic stop timer for prepaid play?
Yes. For prepaid sessions the countdown ends the session when the paid minutes are used up, and you can enable a stop-timer on postpaid stations too. This prevents overplay and keeps the floor turning over.
How accurate is the billing time?
GameBiller tracks elapsed time in seconds on the server and bills against your rate card, so charges reflect actual play precisely. Paused time is excluded, and the invoice shows the exact duration for full transparency with the customer.
Memberships & discount plans
Does GameBiller support membership plans for regular customers?
Yes. You can create membership plans and assign them to customers so regulars get better value and you get repeat visits. GameBiller supports hours-based plans, wallet (prepaid amount) plans, and standing percentage discount plans.
What is an hours-based membership plan?
An hours plan sells a bundle of play hours — for example 10 hours for a fixed price — and each session automatically deducts from the member’s remaining hours. GameBiller tracks hours used and remaining, and any overflow beyond the balance is billed at your normal rate.
What is a wallet or value membership?
A wallet plan is a prepaid balance in money rather than hours: the customer tops up an amount, and each bill is deducted from that balance. GameBiller shows the wallet balance and charges any overflow at normal rates when the balance runs low.
What is a discount membership plan?
A discount plan gives a member a standing percentage off their playtime charges every visit — for example 20% off play — without pre-buying hours or a wallet. GameBiller applies the discount automatically to the play portion of each bill and records how much the member saved.
Does the discount apply to snacks too, or only playtime?
GameBiller’s discount plans apply specifically to playtime charges, not snacks or accessories. This keeps your food and drink margins intact while still rewarding members on the gaming they came for.
How do I add a member to a plan?
In Membership Plans, open the plan type (hours, wallet or discount), choose New Purchase or add a member, enter the customer’s phone and details, and record the payment. The member is then recognized automatically at billing time.
Can members top up their hours or wallet later?
Yes. Hours and wallet members can be topped up at any time, and every top-up is recorded in a ledger. GameBiller counts these top-ups as membership revenue in its reports so you can see recurring income from regulars.
How do I know how much a member has saved or has left?
The Membership section and Membership Report show each member’s remaining hours or wallet balance, and for discount members the total amount saved so far. Customer Play History lists the discount or deduction applied on each individual session.
Do memberships work across PC and PS5 stations?
Yes. A member’s hours, wallet or discount applies to their playtime regardless of station type, so the same membership covers PC, PS5, VR or LAN seats. Your rate card still determines the per-station price before the membership benefit is applied.
Can I see membership usage and revenue in reports?
Yes. The Membership Report breaks down active members, purchases and top-ups, and a dedicated discount view shows the total saved by discount members. Daily Revenue also surfaces membership revenue separately from walk-in play.
Loyalty, snacks & inventory
Does GameBiller have a loyalty points program?
Yes. GameBiller includes a loyalty system that awards points on billing at a rate you configure, and customers can redeem points for discounts on future visits. Points balances and history are tracked per customer so regulars are rewarded automatically.
How do loyalty points get redeemed?
At billing you can redeem a customer’s available points for a discount amount, which is deducted from the invoice total. GameBiller keeps a running balance of earned, redeemed and remaining points so the math is always clear.
Can I sell snacks and drinks through GameBiller?
Yes. You maintain a snacks and beverages catalog with prices, and add items to any session; they appear on the invoice as line items. This turns your billing screen into a simple point of sale for food and drink alongside gaming.
Does GameBiller track snack inventory and stock?
Yes. Adding a snack to a session reduces its stock count, and the sale is recorded when the invoice is paid. If a pending session is discarded, the stock is returned — so your inventory stays accurate through the whole billing flow.
When is a snack counted as sold?
Stock is reduced when a snack is added to a station, but the final SALE is logged only when the invoice is marked paid. If the session is reset or discarded before payment, the stock is returned, preventing phantom sales.
Can I charge for accessories like extra controllers or headphones?
Yes. GameBiller supports accessory and extra-controller charges on a session, which are added to the bill along with play time and snacks. You decide the prices, and they appear itemized on the invoice.
Can I see which snacks sell best?
Yes. The Snacks Report summarizes snack sales so you can see your top sellers and total food-and-drink revenue for a period. This helps you stock the items that actually move and drop the ones that do not.
GST, invoicing & receipts (India)
Does GameBiller support GST billing for Indian gaming cafes?
Yes. GameBiller supports GST-ready invoicing: you enable GST, set your percentage and GSTIN, and tax is calculated and shown on invoices. This is designed for Indian gaming businesses that need tax-compliant receipts.
How do I add my GSTIN and tax rate?
In the Tax & GST settings you enable GST, enter your GSTIN, and set the tax percentage for your shop. From then on, invoices show the taxable amount, the GST amount and the total with GST.
Can I send invoices to customers on WhatsApp?
Yes. GameBiller can share a receipt to the customer’s WhatsApp number, so they get a digital copy instantly without printing. You can also download a PDF, print to a thermal POS printer, or email it.
Does GameBiller work with thermal receipt printers?
Yes. Invoices can be printed to a thermal POS printer for a physical receipt at the counter, alongside PDF, WhatsApp and email delivery. This covers customers who want paper and those who prefer digital.
Can customers pay online, or only cash?
GameBiller supports cash, online, and split payments (part cash, part online). Online payments integrate with Razorpay, and you can record the payment method on each invoice so your revenue reports separate cash from online.
What is a split payment?
A split payment lets a customer pay part of the bill in cash and part online in the same transaction. GameBiller records both amounts against the invoice, and the Daily Revenue report shows the cash and online breakdown.
Does each invoice get a unique number?
Yes. Every invoice gets a unique invoice number and timestamp, and is stored with its line items, taxes and payment status. This gives you a clean, searchable billing history for accounting and disputes.
Can I re-open or view a past invoice?
Yes. Past invoices are kept in your billing history where you can view details, resend the receipt, or check the payment status and method. Nothing is lost once an invoice is generated.
Reports, revenue & analytics
What reports does GameBiller provide?
GameBiller provides daily and monthly revenue reports, station and game-type performance, snacks sales, membership and loyalty activity, and expense and other-income tracking. Reports can be exported to Excel and PDF for your accountant.
Can I see how much each station earns?
Yes. The Daily Revenue report breaks revenue down by game type and platform, so you can see which stations and console types earn the most. This helps you decide where to add seats or adjust pricing.
Does GameBiller show revenue by day and by month?
Yes. You can view a specific day’s totals — invoices, bill amount, discounts, snacks and membership revenue — or switch to a monthly summary. Both views are timezone-aware so the numbers match your local business day.
Can I export reports to Excel or PDF?
Yes. Daily and monthly reports export to Excel and PDF directly from the dashboard, so you can hand clean figures to your accountant or keep offline records. Membership and snacks data export too.
Can I track expenses and non-gaming income?
Yes. GameBiller includes an expense tracker and a sale-and-service income tracker, so you can record costs and extra income beyond gaming sessions. This gives a fuller picture of profit, not just gross billing.
Does the dashboard show live KPIs?
Yes. The dashboard shows active sessions, completed sessions, total resources and revenue at a glance, updating as the floor operates. Owners can monitor the numbers in real time from any device.
Can I hide revenue figures from certain staff?
Yes. Revenue visibility is permission-based, so you can hide the revenue tile from staff who should not see takings while still letting them run stations and bill. Owners retain full visibility.
Are reports accurate if I bill from multiple browsers?
Yes. Because billing is server-authoritative and revenue reports read from the invoices stored on the server, the figures are consistent no matter how many devices are billing. There is no double-counting from multiple open browsers.
PlayLock — PC locking & prepaid time
What is PlayLock in GameBiller?
PlayLock is GameBiller’s Windows kiosk-lock add-on: a small agent installed on each gaming PC that locks the machine until a registered gamer logs in, then bills their prepaid hours in real time. It turns unattended PCs into self-service, pay-as-you-go stations.
How does PlayLock stop people using a PC without paying?
When idle, the PlayLock agent shows a full-screen lock that a gamer must log into with their mobile and password before the desktop is released. Without a valid, funded login the PC stays locked, so no one can play without an account and balance.
Does PlayLock bill gamers automatically as they play?
Yes. Once a gamer logs in, the server deducts their prepaid hours in real time while they play, and the session ends when their balance runs out. Billing is server-authoritative, so the agent only reports time — it never controls the price.
What happens if the internet goes down while PlayLock is running?
PlayLock is designed to keep a running session going offline using the time already allocated, locking the PC when that time is used up, and syncing back with the server when the connection returns. This keeps the floor running through short outages.
Can staff manually lock or log out a PC from the dashboard?
Yes. From the PlayLock dashboard, staff can force-lock, force-logout or unlock a PC, and the agent reconciles that command on its next heartbeat. This lets you free or secure a machine remotely without walking over to it.
How do I install and pair the PlayLock agent?
Download the PlayLock agent from your dashboard, install it on the gaming PC, and pair it using a 6-digit code generated for that station. Once paired, the PC appears in your PlayLock registry and starts enforcing the lock.
Does PlayLock work on Windows Home editions?
Yes. PlayLock’s lock uses user-mode techniques that work on Windows Home as well as Pro, so you do not need a business edition of Windows. It is built to run on the everyday PCs most cafes already have.
Can gamers top up their time at the PC?
Gamers can request a recharge from within the agent, and staff approve the top-up from the dashboard, which adds hours to the gamer’s balance. They can also request snacks mid-session the same way.
Does PlayLock warn gamers before their time runs out?
Yes. The agent shows the remaining time and gives low-balance and voice alerts as the session nears its end, so gamers can save their game or recharge. This avoids abrupt lockouts mid-match.
Is PlayLock secure against gamers trying to escape the lock?
PlayLock blocks common escape shortcuts while the lock screen is showing and applies per-user restrictions during a session, with a watchdog that restarts the agent if it is killed. It is a strong deterrent for a self-service floor, layered with your normal supervision.
How much does PlayLock cost?
PlayLock is priced per PC per month as a subscription on top of your GameBiller account. You subscribe the number of PCs you want to lock, and the dashboard manages that subscription; contact support for current per-PC pricing.
Does PlayLock update itself when a new version is released?
Yes. Installed agents auto-update from GameBiller’s release feed and surface an update prompt on the login screen, so you do not have to reinstall on every PC for each release. Device pairing survives updates.
Staff, roles & multiple shops
Can I give my staff their own logins?
Yes. GameBiller supports staff accounts with role-based access, so employees can run stations and bill without seeing owner-only areas. You manage staff from the dashboard and control what each role can do.
What can staff do versus the owner?
Staff typically manage stations, take payments and view day-to-day screens, while owners additionally manage pricing, staff, subscriptions and sensitive reports. GameBiller’s permissions let you tune exactly what staff can access, including hiding revenue.
Does GameBiller log staff actions?
Yes. Key operations are recorded in an activity log with the user and time, giving you an audit trail of sessions, invoices and changes. This helps resolve disputes and keep accountability on a busy floor.
Can I run more than one gaming center from one account?
GameBiller is multi-tenant with complete data isolation per shop, and super-admin tools exist to manage multiple shops. If you operate several branches, contact support@gamebiller.com to set up the right structure for your chain.
Is each shop’s data kept separate?
Yes. Every record is scoped to its shop, so one center’s stations, customers and revenue are never visible to another. This isolation is enforced throughout the system, which matters for franchises and multi-owner setups.
Can staff be restricted from seeing revenue?
Yes. Revenue and sensitive reports are permission-gated, so you can let staff bill and run stations while keeping takings hidden. The revenue tile simply does not appear for roles without that permission.
Security, data & reliability
Is my gaming cafe data safe with GameBiller?
GameBiller stores your data on managed cloud infrastructure with encrypted connections, hashed passwords and per-shop isolation. Backups are maintained on the database, so your billing history and reports are protected.
Where is my data stored?
GameBiller runs on managed cloud hosting with a PostgreSQL database, served over HTTPS. Your records live in your isolated shop tenant and are accessible only through your authenticated account.
How does GameBiller protect against billing race conditions?
Station updates use optimistic locking and billing is server-authoritative with atomic database transactions, so two simultaneous actions cannot corrupt a session or double-charge. The server is always the source of truth for time and money.
What happens if my browser crashes mid-session?
Nothing is lost. Because the session and its elapsed time live on the server, reopening the dashboard restores the exact live state. The timer does not depend on your browser staying open.
Are passwords stored securely?
Yes. Passwords are hashed with bcrypt rather than stored in plain text, and authentication uses signed tokens. PlayLock device credentials are stored in the Windows secure store, not on disk in the open.
Does GameBiller keep an audit trail?
Yes. Activities such as session start, invoice generation and key changes are logged with user and timestamp. This audit trail supports accountability and helps you investigate any discrepancy.
Switching & migration
I currently use spreadsheets — is it hard to switch to GameBiller?
No. Switching mostly means entering your stations and rates once; from then on GameBiller replaces the manual timing and totals that spreadsheets cannot do reliably. Because it is free to start, you can run it alongside your sheets for a few days before fully switching.
Can I move from another gaming cafe software to GameBiller?
Yes. You set up your stations, rates and members in GameBiller and go live; historical data can usually be kept in your old system for reference. For help planning a switch, contact support@gamebiller.com.
Will I lose my customer history if I switch?
Your past records stay wherever they are today, and GameBiller builds fresh, accurate history from the moment you start billing on it. Memberships and loyalty balances can be set up for your regulars during onboarding.
Why do cafes switch to GameBiller?
Common reasons are accurate time-based billing, free entry pricing, GST-ready invoices, memberships and loyalty, and PlayLock self-service locking — all in one system. Owners like seeing real revenue by station instead of guessing from a register.
Can I run GameBiller alongside my current system during a trial?
Yes. Since the Free Forever plan has no cost or card, many owners bill a few stations on GameBiller while keeping their old process, compare the results, then switch fully once confident. There is no lock-in to test it.
GameBiller pricing & plans
Is GameBiller really free?
Yes. GameBiller has a Free Forever plan with no monthly charge and no credit card required, so you can run your gaming cafe at zero software cost. You only pay if you choose to upgrade for higher station limits or advanced features.
What is the best free gaming center management software?
GameBiller is a free gaming center management software with a Free Forever plan (₹0/month, no credit card). It manages stations, time-based billing, GST invoices, memberships, loyalty, snacks and reports for PC, PS5, esports and LAN centers — so you can run a cafe end to end without paying for software.
What do the paid plans add over the free plan?
Paid plans raise limits such as the number of stations and unlock advanced features for larger centers. The free plan is fully functional for small cafes; you upgrade only when your floor grows beyond its limits.
How are paid plans billed?
Paid plans can be billed monthly, quarterly, half-yearly or yearly, with longer cycles costing less per month. You choose the cycle that suits your cash flow when you upgrade.
Do I need a credit card to start?
No. The Free Forever plan requires no credit card and no payment details, so you can sign up and start billing immediately. Payment details are only needed if you later upgrade to a paid plan.
Can I cancel or downgrade later?
Yes. You can move between plans as your needs change, and dropping back to the free plan keeps your cafe running without a subscription. Your data and history stay with your account.
Is there a setup or hidden fee?
No. There is no setup fee to start on GameBiller — you sign up free and configure it yourself in minutes. The only cost is an optional plan upgrade or the PlayLock per-PC subscription if you use PC locking.
Does GameBiller charge commission on my sales?
No. GameBiller is subscription software, not a marketplace, so it does not take a cut of your gaming or snack revenue. Your takings are yours; you pay only your chosen plan (free or upgraded).
